Privacy Policy

Briefr (“we”, “us”, “our”) is committed to protecting your privacy. This policy explains what data we collect, how we use it, your rights, and how to contact us.

1. What We Collect

Account data

When you sign in with Google we receive your name, email address, and profile picture. We store these to identify your account and personalise your experience.

Voice recordings & transcripts

Briefr requests access to your device microphone solely to record meetings you explicitly start. Audio is transmitted to our servers to generate a transcript and summary. Your recordings, transcripts, and summaries are stored in your account and retained until you choose to delete them.

Anonymous usage analytics

We collect anonymous, aggregated event data (for example, which features are used and approximate session length) to understand how the app performs and where to improve it. This data is processed by a third-party analytics provider and cannot identify you personally. You can opt out at any time in Settings → Privacy.

Crash & error reports

We collect anonymous crash and error reports through a third-party monitoring service. These reports contain technical information about the failure (device model, OS version, stack trace) and never include the content of your recordings or transcripts.

2. How We Use Your Data

  • To authenticate you and maintain your account
  • To process audio and deliver transcripts and AI-generated summaries
  • To improve the app through anonymous usage analytics
  • To diagnose and fix technical issues

We do not sell your personal data. We do not use your recordings, transcripts, or summaries to train AI models.

3. Legal Basis for Processing (GDPR)

If you are located in the European Economic Area, we process your data on the following legal bases:

  • Contract performance — processing necessary to provide the transcription and summarisation service you requested.
  • Legitimate interests — anonymous crash reporting and analytics to maintain a safe, functioning product.
  • Consent — microphone access, which you can revoke at any time in your device settings.

4. Data Retention

  • Audio recordings — automatically deleted from our servers after 30 days. Transcripts and summaries remain available.
  • Transcripts & summaries — retained until you delete them or your account.
  • Account data — retained until you request account deletion.
  • Anonymous analytics — retained in aggregated form for up to 24 months.
  • Crash reports — retained for up to 90 days.

5. Data Storage & Security

Your data is stored on servers located in the European Union. We use industry-standard encryption in transit (TLS 1.2+) and at rest. Access to production systems is restricted to authorised personnel only.

6. Data Sharing

We share data only with trusted sub-processors strictly necessary to provide the service:

  • Authentication provider — to verify your identity via Google Sign-In.
  • Speech-to-text provider — to transcribe your audio recordings.
  • AI summarisation provider — to generate summaries and power the chat feature.
  • Analytics provider (EU Cloud) — to collect anonymous usage statistics.
  • Error monitoring provider — to capture anonymous crash reports.
  • Cloud infrastructure provider (EU) — to host and store your data.

We do not share your data with advertisers, data brokers, or any other third parties.

7. Your Rights

You have the right to access, correct, export, or delete your personal data at any time:

  • Delete individual recordings and their transcripts directly in the app.
  • Opt out of anonymous analytics in Settings → Privacy.
  • Revoke microphone access in your device system settings at any time.
  • Request a copy of your data or full account deletion by emailing support@briefr.pro.

If you are in the European Economic Area you also have the right to lodge a complaint with your local data protection authority.

8. Children

Briefr is not directed at children under 18. We do not knowingly collect personal data from children. If you believe a child has provided us with personal data, please contact us and we will delete it promptly.

9. Changes to This Policy

We may update this policy from time to time. We will notify you of material changes through the app. The “Last updated” date at the top of this page always reflects the most recent revision.
